On 1st February 2016, the IMDS Terms of Use will be amended to reflect the decision of the IMDS Steering Committee to allow the transfer of existing IMDS data to external systems under special conditions. The Supplier Alliance (SUAL) requested this decision to minimize manual data entry efforts for case material data being entered into other systems. With increasing globalization, reporting requirements from other industries and regions continue to grow. With a focus on efficient compliance reporting, the extended use of existing IMDS data is inevitable.

For example: if a supplier uses an identical component currently reported in IMDS –but for another industry branch, the data needs to be manually re-entered into the other system. The reuse of data is required to avoid this manual effort.

An amendment is needed since the IMDS data re-use is currently not allowed in today’s IMDS Terms of Use. SUAL discussed and agreed to the final changes to this document. The amendments can be found here:

New IMDS Terms of Use

The IMDS Terms of Use informs the user that the data entered might be forwarded to other systems under certain conditions.

The IMDS-AI Terms and Conditions define how this can be done. The data-forwarding company is responsible for adhering to the agreed-upon rules. These Terms and Conditions also define the criteria that must be met by the target system. These criteria can be found on the IMDS Information pages.

HP separates its existing business areas into two new companies on 1st November 2015: HP Inc. and Hewlett Packard Enterprise (HPE). Our IMDS team belongs to the newly founded company HPE. Therefore, the current HP branding will be replaced by the new HPE brand effective November 1st 2015. This change will be rolled out in IMDS together with IMDS Release 10.0 on 19th November 2015.

Furthermore, existing e-mail addresses will be transferred from hp.com to the hpe.com domain with the new Release. This means that team members and Service Center e-mail addresses will change and system e-mails will be sent from imds-info@hpe.com. Users should pay attention that these addresses are not blocked as spam or junk e-mail. There will be no other changes for the users.

The Search process for Material MDSs without Warnings (will be introduced with IMDS Release 10.0 on 19th November 2015) was slightly adapted. IMDS Release 10.0 will go online on November, 19th 2015. In order to comply with the feedback and suggestions from the stakeholders participating in the IMDS Release 10.0 tests, the IMDS Steering Committee decided to implement several changes to the already announced IMDS Release 10.0 Enhancements. Please get informed about enhancements in the Release Notes 10.0. A more detailed description of some of the enhancements is available here.

In order to address Jaguar Land Rover’s REACH responsibilities more effectively, after the 4-digit parent code is entered, they now require the 5-digit Supplier GSDB Site code to be included in your IMDS submissions.

The 5-digit site code information will become mandatory on June 17th, 2015.

The following options will be available to you, when entering the site code information:

Some Examples of valid manufacturing site codes: "U000A", "BEJ4A", "BEJ4C", "U0010", "U0011"

We previously reported an “ALL” option is available. This was not correct. Specific manufacturing site codes are required.

For IMDS-AI uploads, the site code should appear in the site code field, as is done with other OEMs which require specific site codes.

If IMDS is not accepting your supplier code, please contact Jaguar Land Rover to get the supplier code added.

With the downtime today, two changes were implemented for Nissan and Scania.

1. Nissan-specific change

Currently, if a Tier1 Supplier sends MDSs to Nissan, Nissan-specific error checks will be carried out in IMDS. The following two function changes will be implemented:

  1. Eliminate a function which checks the parts number and a supplier code input into a Recipient data
  2. Eliminate a function which checks "Polymeric part(s) marked" when total weight is 25g or higher for each Material Classification 5.1, 5.1.X, 5.2, 5.3, 5.4, 5.4.X, 5.5, and 5.5.X.

The warning message for these 2 functions will be removed as well.

2. Scania

When a Tier1 Supplier sends MDSs to Scania, Scania specific error checks will run in IMDS. The following change has been implemented:

New check: If an MDS flagged as Development Sample Report is trying to be sent to Scania, the following error message will be returned: "MDSs with enabled Development Sample Report flag are rejected by Scania because MDSs for parts with development status "P" (Preliminary) shall not be submitted. Only the final MDSs shall be submitted after the supplier has received a series part order by Scania."
